Job Title: Office Assistant/Receptionist
SUMMARY
Operates multiple line telephone system to answer incoming calls and directs callers to appropriate personnel, separates mail, and routes incoming faxes by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, (other duties may be assigned):
Retrieves messages from incoming faxes and forwards to appropriate personnel.
Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel.
Provides callers with address, directions, and other information.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
Receives, sorts, and routes mail.
Prepares outgoing mail and correspondence with postage, includes sorting and loading manager’s mail into envelopes.
Assist A/P with scanning of documents.
Assist Accounting with bank statements
Responsible for ordering and distributing by mail all deposit books, receipt books and leases.
Performs other clerical duties as needed, such as filing, typing, and collating.
Ability to work in cooperation with coworkers, guests, vendors, contractors, and others.
Ability to attend the switchboard on a regular basis, including punctual attendance during office hours.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or three to six months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as procedure manuals, operating and maintenance instructions, and safety rules. Ability to write and complete routine reports, paperwork, and correspondence. Ability to respond positively and effectively to common inquiries or complaints from residents, regulatory agencies, or members of the business community.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situation.
